Operations, Procurement & Supply Chain
We follow a purchase order, a stock movement or a service ticket through every system it touches, then fix the step where cost or delay gets in.
Our perspective
Operations work at THEFOCUS covers how a business buys, plans, makes, stocks and serves: procurement and supplier management, supply and demand planning, production quality, service operations and the automation that joins them. We trace real purchase lines, orders and stock movements through the systems that carry them, fix the step where cost or delay enters, and measure the result against a recorded baseline.
Operations reviews often begin with interviews and a process map drawn on a whiteboard. We begin with the stock file, the purchase ledger and the order export. Real purchase lines show which suppliers are invoicing above the agreed price, which products exist twice under different codes, and where an order waits days for a manual approval. The process map comes afterwards, and it describes what the records show.
We work in commodity sourcing and wholesale supply, food and grocery, construction and home improvement, jewellery, car rental and the automotive aftermarket. In each of them the expensive failures sit between systems: a supplier price list that never reached the ERP, stock held by orders that will never ship, a quality claim logged in an email thread and never matched to a batch. The team that finds the gap also builds the fix, whether a cleaned product master, a purchase-price check or an automation with an alert, and then measures whether the gap stayed closed.
We do not run warehouses, fleets or fulfilment. The client and its logistics providers do, so our advice carries no interest in the volume that passes through a facility, and our deliverables are the procedures, data and systems the operation runs on. Where a problem needs deep specialism, such as a particular ERP or warehouse management system, a category market or a production technology, we bring in a partner chosen for that engagement and named in the scope.
How we help clients
Operations Strategy & Performance
An operating plan built from where your orders, stock and service cases actually stall, with targets backed by a measure that reports on the day.
ExploreProcurement & Sourcing
Spend analysis, supplier selection, tenders and contract compliance built from your purchase ledger, so negotiated prices are the prices you pay.
ExploreSupply Chain Planning & Logistics
Demand forecasting, stock policy, product data and logistics provider management, planned from sales history and stock files. Physical logistics stays with you.
ExploreManufacturing & Quality
Quality records, defect tracing, production data and supplier quality controls that link a customer complaint back to its batch, line or supplier.
ExploreService Operations
Customer service, bookings, returns and after-sales processes measured from tickets and orders, then fixed at the step where customers get stuck.
ExploreProcess Automation
Scheduled jobs and integrations that replace manual re-keying between operational systems, each one logged, alerted and reversible.

Business challenges
01
Supplier invoices that drift from the contract
Prices agreed at the last negotiation never reach the purchasing system, surcharges appear on invoices nobody checks line by line, and the contracted price becomes a reference figure nobody pays.
02
Stock committed to orders that will never ship
A backlog of unfulfilled or abandoned orders holds inventory, so the storefront shows products as unavailable while the stock sits on the shelf.
03
A product master nobody trusts
The same SKU sits on different products, variant prices disagree with the price list and attributes are missing, so catalogues, partner feeds and B2B price lists break.
04
Forecasts the buying team does not use
Demand plans are built in a separate spreadsheet from last year plus a percentage, and purchase orders follow the buyer's judgement because the forecast has never been checked against what sold.
05
Quality problems found by customers
Defects surface as returns and complaints weeks after dispatch, and nobody can match a claim to a supplier batch or a production run.
06
Manual re-keying between systems
Orders, invoices and supplier data are copied by hand between the store, the CRM, the accounting system and spreadsheets, and every copy adds delay and a chance of error.
How we approach it
Follow real records
We follow actual purchase orders, stock movements and service cases through each system to find where they stall, and compare what happened with what the documented process says.
Fix the cause where it starts
Defects are corrected in the system that creates them. A patch in a downstream system leaves two systems in permanent disagreement and breaks the reconciliation between them.
Automate with a record
Every automation writes a log and raises an alert on failure. Bulk changes start from a snapshot of the prior state, so they can be reversed record by record.
Measure against the baseline
Each improvement has a measure and a scheduled check with the starting figures written into it, so the result is read against where the process began.

Verified buyer sourcing and sales-channel comparison for a small agricultural grower
A small grower holding a few tonnes of a new-season crop asked for verified firms that buy direct from producers. We built the list from official membership registries and showed that the choice of sales channel mattered more than the choice of buyer.

Launch program for a new fine jewellery brand, from positioning to storefront and production equipment
A young jewellery brand preparing to sell direct to consumers engaged us for a multi-phase launch program. So far that has produced the brand position, a built storefront, the sales and social accounts, a product render standard and a purchase recommendation for in-house casting equipment.

Two deep audits and an ordering-failure diagnosis for an online specialty food shop
An online specialty food shop in the Gulf asked for an audit, then for help when customers said they could not order. We found the cause in a theme rule and in stock tied up by unfulfilled orders, and turned two audits into a prioritised program.

How outcomes are evaluated
- Price paid against contracted price, by supplier and category
- Order-to-dispatch time and orders blocked, counted by cause
- Forecast error by product family against recorded sales
- Returns and quality claims traced to a supplier batch or production run
- Share of orders, invoices and stock movements handled without manual re-keying
Scope boundaries
- We do not provide logistics, warehousing or fulfilment services. We improve the processes, data and systems that the client and its providers run.
- Supplier contracts are agreed and signed by the client. We prepare the analysis, the tender and the negotiation plan.
- FuelVeriq, our fuel quality and supply-integrity product, is a pre-launch MVP demonstration with pilot enquiries open and has no live deployments.
How an engagement with THEFOCUS starts
A first conversation is about your situation. If there is a fit, we propose a scoped diagnostic with a fixed deliverable before any larger commitment.

A working conversation
Forty-five minutes with the person who would lead the work. We ask about the decision, the systems behind it and the deadline.
02
A scoped diagnostic
Read-only access, a fixed timeframe and a written finding: what the records show, what it costs and what to change first.
03
A plan you can act on
Changes, owners, measures and exclusions in writing. The same team then builds and measures, or hands over cleanly.
- One accountable team
- The people who diagnose also build the systems and measure the result.
- Partners chosen per problem
- Independent specialists join for the parts that need them, under one contract.
- Records before dashboards
- Orders, ledgers and logs are reconciled before any recommendation depends on them.
Questions executives ask
What kinds of operational problems do you take on?
Problems that leave a trace in system data: suppliers invoicing above contract, stock shown as unavailable, unreliable product data, forecasts nobody plans against, quality claims that cannot be traced, and manual re-keying between tools. Physical warehouse design and fleet operation sit outside what we do.
Do you run logistics or fulfilment for clients?
No. Warehousing, transport and fulfilment stay with you and your providers. We work on the planning, data, contracts and systems around them, and can help you specify and compare providers.
How does an engagement start?
With read access to the systems that carry the process and a short list of real cases that went wrong, such as an overpaid invoice or an order a customer could not complete. We trace those first, because they show where the process breaks in practice.
Will our operations staff be involved?
Yes. The people who run the process explain the workarounds that never reach the documentation, and they review new procedures before those take effect. Automations are handed over with instructions they can follow.
When do specialist partners join operations work?
When the work needs a system or discipline the core team does not hold in depth, such as a particular ERP or warehouse platform, a category market or a production technology. Partners are named in the scope and work to the same verification standard.
How do you make changes without disrupting trading?
Changes are staged, backed up and checked. Bulk edits run from a snapshot that allows reversal, and anything that affects customers, suppliers or live spend is agreed with you before it runs.
